Terms and Conditions

By booking with ArcoDecor (“we,” “us,” “our”), you (“you,” “client,” “hirer”) agree to the following terms and conditions:

1. Booking & Payment

1.1 To secure your booking, a non-refundable deposit equal to 50% of the total hire amount is required upon invoice.
1.2 The remaining balance must be paid no later than 4 weeks (28 days) prior to the event date.
1.3 If we do not receive the remaining balance by 2 weeks before the event date, despite our attempts to contact you, we reserve the right to cancel your booking and retain the deposit.
1.4 Once your booking is confirmed and deposit paid, the price is fixed unless you request changes (see Section 2).

2. Changes & Price Validity

2.1 Quotes are valid for 14 days from issue. After that, they may be subject to price changes.
2.2 If you wish to add items or change your order, new items are subject to the current pricing at that time.
2.3 If you request changes to your event date or venue that affect travel or logistical costs, we may adjust prices accordingly.
2.4 Once an order is placed and the deposit paid, you may not reduce the price of your order, as items are reserved for you. However, you may swap items for alternatives of similar value (if available).

3. Delivery, Setup, & Collection

3.1 Delivery: We will deliver your rental items on the morning of your event date (unless otherwise agreed).
3.2 Setup:

  • For items requiring professional assembly (such as arches, backdrops, large installations), ArcoDecor will install them at a time agreed with you, typically on event day morning.

  • Once installed, these items must not be moved, unless previously agreed and an additional quote issued.
    3.3 Collection: We will collect all rented items on the morning following your event. Please ensure your venue permits next-day collection.
    3.4 Access & Venue Responsibility: You must ensure safe and adequate access to your venue for delivery, setup, and collection. If we cannot access the venue or carry out setup due to restricted access without prior notice, we cannot refund or adjust charges.

4. Damage, Loss & Security Deposit

4.1 All rental items remain the property of ArcoDecor.
4.2 You are responsible for the care and safekeeping of all items from delivery until collection.
4.3 A security deposit (amount specified on your invoice) is required and will be held until all items are returned intact.
4.4 We will refund the deposit (minus any deductions) within 3 business days after collection, once we inspect all items.
4.5 If items are lost, stolen, or irreparably damaged, we will deduct repair or replacement costs from the deposit. If those costs exceed the deposit, you agree to pay the excess upon presentation of receipts.

5. Cancellations

5.1 Cancellation more than 3 months (90 days) before your event: loss of deposit.
5.2 Cancellation less than 3 months before your event: forfeit all payments made.
5.3 If we are able to re-book your date and items, we may, at our discretion, refund amounts beyond the non-refundable deposit.
5.4 If ArcoDecor must cancel due to unforeseen circumstances, we will refund all monies paid by you (including deposit).

6. Outdoor & Weather Conditions

6.1 Use of rented items outdoors is only permitted if expressly agreed at time of booking and is weather-permitting.
6.2 We are not responsible for damage due to adverse weather conditions unless we have agreed to provide weather protection or backup.

7. Liability & Use

7.1 ArcoDecor is not liable for injury, damage, or loss arising from improper handling or misuse of rented items.
7.2 You must ensure children are supervised and that no open flames (candles, cigarettes) are near rented décor.
7.3 Items must not be climbed on, pinned, or altered unless with prior written agreement.
7.4 You agree to comply with all venue rules, fire and safety regulations, and insurance guidelines.

8. Photography & Marketing Usage

Unless you request otherwise in writing, you grant ArcoDecor permission to use non-identifiable photos of your event décor for marketing (website, social media, portfolio).

9. GDPR & Privacy

We collect and use personal data (name, contact info, event details) to process bookings and communications. All data is stored securely. We will not share your data with third parties except as needed to fulfil services (e.g. transport, setup). After your event, we will delete your personal data within 6 months unless legal obligations require otherwise.

10. Acceptance & Amendments

Your submission of the booking request form and/or payment of any amount constitutes your acceptance of these Terms & Conditions. We reserve the right to amend these terms at any time; the version on our website at time of booking governs your agreement.
